Products and individual features or services are governed by the Terms & Conditions of a customer’s Pricing Schedule and Master Agreement with Intellor.
Bspoke Conferencing is Intellor’s audio-first integrated conferencing service. This solution includes scalable, secure, reliable conferencing infrastructure with the Bspoke web app for intuitive, online, real-time management of conferences.
Intellor Events are audio, video, or web conference events delivered “as a service” – comprised of technology platforms (Intellor proprietary and/or third-party), features, and services.
Accounts
A Bspoke Meetings account provides the user with “meet now” interactive conferencing for up to 225 participants. The Bspoke web app allows the user to start and manage (record, see active talkers, un/mute or expel attendees, etc.) meetings. Automated dial-in options include Toll and Toll-Free, and Bspoke Dial-Out/Call-Me is also available. Basic support includes email ticketing and access to the knowledge library.
A Bspoke Events 1000 account provides the user with the ability to schedule and host broadcast-style conferences for up to 1000 participants. In addition to the features of the Bspoke web app available with Meetings, Events adds optional feature components – such as access management – and service components – such as Bspoke moderators. Basic support includes email ticketing and access to the knowledge library.
A Bspoke Events 4000 account provides the user with the ability to schedule and host broadcast-style conferences for up to 4000 participants. In addition to the features of the Bspoke web app available with Meetings, Events adds optional feature components – such as access management – and service components – such as Bspoke moderators. Basic support includes email ticketing and access to the knowledge library.
Intellor Events accounts allow one or more users to reserve audio, video, or web conferences “as a service” – comprised of both technology platforms (Intellor-proprietary and/or third-party) and selected feature and service components (event planning, a/v pre- and post-production, etc.)
Features
Online Catalog (Setup/Update) provides for the implementation of an online page that presents defined information (e.g. Event Name, Date, connection instructions, etc.) on either all or a selected set of customer events, as well as 6 months of access.
Online Catalog (Extension) provides an additional 6 months of access to an Online Catalog.
Registration (Setup/Update) allows for customization of a Registration – whether RSVP or Invitation.
RSVP may include implementation of data collection beyond the standard, addition or customization of pre-event reminder or post-event follow-up emails, and addition of a logo.
Invitation may include addition or customization of pre-event reminder or post-event follow-up emails, addition of a logo, or implementation of custom PINs.
Once a Registration is set up, it can be used for any or as many events as desired.
Registration (Usage) applies to any Registration – standard or customized, RSVP or Invitation.
RSVP requires all attendees to pre-register via a web page – with name and email (both required) as well as up to 3 additional data points of your choice – in order to receive event connection information. You will have access to real-time registration reporting.
Invitation requires you to provide an Excel file containing attendees’ first names, last names, and email addresses, to which we will issue invitations containing event connection information. The file should be delivered shortly before your desired send date, as invitations will be issued within 48 hours of receipt.
Both options provide registrants with standard confirmation and one-hour reminder emails containing event connection information. Both options also provide you with detailed post-event attendance reporting.
Bspoke AI Entry– Name enables an attendee to dial an event by access code, verbally self-identify, and for the system to record that information. The attendee’s name is then displayed in the Bspoke web app and the event attendance report.
Bspoke AI Entry – Name Plus enables an attendee to dial an event by access code, verbally self-identify, be prompted for and provide up to 3 additional data points, and for the system to record that information. The attendee’s name is then displayed in the Bspoke web app and the attendee’s name and additional data points are displayed in the event attendance report.
Bspoke AI Entry – Screening requires an attendee to dial an event by access code, be prompted for and provide a customer-identified data point (i.e., name or employee ID) for system validation in order to gain access to the event.
Bspoke Operator Entry – Name enables up to 100 attendees to dial an event by access code, verbally self-identify, and for an operator to record that information. Each attendee’s name is then displayed in the conference and its attendance report.
Bspoke Operator Entry – Name Plus enables up to 100 attendees to dial an event by access code, verbally self-identify, be prompted for and provide up to 3 additional data points, and for an operator to record that information. Each attendee’s name is then displayed in the event and the attendee’s name and additional data points are displayed in the attendance report.
Bspoke Operator Entry – Screening requires up to 100 attendees to dial an event by access code, be prompted for and provide a customer-identified data point to an operator (e.g. name or employee ID) to gain access to the event. Alternatively, operators can dial out to your attendee list (up to 100), and if desired, prompt for and validate the customer-identified data point, and then join each attendee to the event.
A Bspoke Password requires an attendee to enter the event’s password in order to gain access to it.
Bspoke Voice Focus can be applied by the Host or Moderator to one or more connections in order to enhance audio quality and remove background noise.
Audio/Video Playback enables a piece of pre-recorded content (.mp3 audio or .mp4 video) to be presented during a live event or for a pre-recorded conference to be presented as “simulated live.”
Custom Report (Setup/Update) provides for the creation of a report comprised of customer-selected, system-standard fields, and 6 months of report delivery in .csv format.
Custom Report (Extension) provides an additional 6 months of delivery of a Custom Report.
MP3 Recording is an audio file of recorded content in an .mp3 format, delivered electronically within one business day.
AI Transcript is an AI-created written record in a document format, delivered electronically within one business day.
Human Transcript is a human-produced written record in a document format, delivered electronically within three business days.
Bspoke Replay (Setup/Update) prepares and hosts Bspoke-recorded audio for access at both a toll and a toll-free number for a standard period of thirty days or as otherwise requested by customer.
Bspoke Replay (Toll Access) allows toll access to Bspoke Replay.
Bspoke Replay (Toll-Free Access) allows toll-free access to Bspoke Replay.
MP4 Recording is a visual file of recorded event content in an .mp4 format, delivered electronically within two business days.
MP4 Recording with Video is a visual file with video of recorded event content in an .mp4 format, delivered electronically within two business days.
AI Captions provides the option to receive an .srt file or to have captions burned into an ordered MP4 Recording; delivered electronically within one business day.
Human Captions provides the option to receive an .srt file or to have captions burned into an ordered MP4 Recording; delivered electronically within three business days.
Web Replay (Setup/Update) prepares event content for online access.
Web Replay (Standard) provides hosting of a standard file (<90 minutes of content) for a period of thirty days.
Web Replay (Large) provides hosting of an extended file (>90 minutes of content) for a period of thirty days.
Services
All services require a reservation. Fulfillment is based on resource availability.
The Standby Moderator is a resource that a Customer can tap either for technical questions and support when self-managing a Bspoke Event or to host a “technical test” of Customer facilities – e.g. connectivity, network, a/v equipment, etc. – prior to a Dry Run or Intellor Event.
The Audio Conference Moderator (“Moderator”) emcees the event, moderates Q&A or other attendee engagement, and provides real-time technical support. The Moderator is available 15 minutes prior to the event. During an Intellor Event, the Moderator will host those 15 minutes in a private pre-conference during which speaker audio will be tested, optimizations recommended, and run-of-show and logistics reviewed.
The Web Conference Moderator (“Moderator”) emcees the event, moderates Q&A, polls, chat, or other attendee engagements, and provides real-time technical support. The Moderator will open a private pre-conference 30 minutes prior to the event’s scheduled start to test speakers’ connections, recommend optimization, prepare materials, and review run-of-show and logistics.
An Intellor Event Dry Run provides an opportunity for Intellor Event organizers and speakers to meet with the Moderator to review technology(ies) and roles and responsibilities, discuss opportunities for optimization, and prepare for a successful event. A Dry Run includes 60-minutes of Moderator time, as well as web and US audio minutes for up to 10 organizers/speakers.
The Communication Line Specialist acts as a liaison between the Moderator and Customer’s onsite personnel, monitoring audio/visual quality, reporting any opportunities for improvement to onsite personnel, and helping to ensure in-room and virtual audience experiences are synced.
The Multimedia Specialist – I performs basic a/v services, such as file encoding.
The Multimedia Specialist – II performs more complex a/v services, such as virtual studio and editing.
A Dual Moderator is required when a Customer requests to connect multiple technology platforms (e.g. Customer Webex + Intellor Event with Bspoke) to conduct a single Intellor Event.
An Event Coordinator can be requested to provide support for a critical event, which may include pre-event planning, materials review, Moderator, post-event debriefs, etc.
An Event Manager can be requested to provide support for a critical event series, which may include pre-event planning, custom solutioning, materials review, resource coordination, post-event debriefs, etc.
A Configuration Consultant gathers complex requirements for applications, registrations, reports, custom implementations, etc.
The Recording Session provides a 90-minute virtual Session to pre-record a/v content, staffed by a Multimedia Specialist II, up to 60-minutes of content Editing, and delivery of a single recording File of up to 60 minutes in an .mp3 (audio) or .mp4 (visual) format. Extensions are available as: Extended Session (extend the session in 15-minute increments) Extended Editing (additional editing in 15-minute increments) and Extended File (extend the delivered file in 15-minute increments). If additional File(s) are required, they are ordered as an MP3 or MP4 Recording.
Utilization – Bspoke Audio
Automated Dial-in rates are applicable to attendees accessing a conference either directly – by entering the provided access code and, optionally, Attendee ID – or via Bspoke AI Entry.
Toll audio rates are applicable to attendees accessing a conference via direct dial access using country code and area code, if required.
Toll-Free audio rates are applicable to attendees accessing a conference via a toll-free number.
Bspoke Dial-Out/Call-Me rates are applicable to a Bspoke dial-out, whether initiated by a Bspoke Host or Moderator, and to a Bspoke Call-Me request initiated by an attendee.
Bspoke Operator Entry rates apply when Bspoke Operator Entry (Name, Name PLUS, or Screening) is employed.
Utilization – Intellor Events (Web)
A Web Connection provides for attendee connection to the platform and use of its integrated computer audio – whether Webex or Zoom.
Optional Zoom Telephone Audio may be made available for customers wishing to provide a “Call-Me” option as part of an Intellor Event platformed by Zoom.
Administration
A Bspoke Audio Unused Port Fee may be incurred when capacity is reserved but underutilized for a Bspoke Event or Intellor Event; applied per-connection under the reserved capacity.
An Expedited Request – Intellor Event applies when scheduling, change, or cancellation of an Intellor Event is required within two hours and requested accordingly via Intellor’s online scheduling facilities.
An Expedited Request – Services applies when scheduling of Services for a Bspoke Event is required within two hours and requested accordingly via Intellor’s online scheduling facilities OR when expedited services are requested related to an Intellor Event.
Expedited Delivery – MP3/MP4 Recording may be requested when the standard delivery schedule doesn’t suit. Expedited MP3 Recordings will be delivered within 2 hours, MP4 Recordings within 1 business day.
Immediate Delivery – MP4 Recording may be requested when the expedited delivery schedule doesn’t suit. Immediate MP4 Recordings are delivered within 2 hours.
Expedited Delivery – AI Transcript may be requested when the standard delivery schedule doesn’t suit. An Expedited AI Transcript will be delivered within 2 hours.
Expedited Delivery – Human Transcript may be requested when the standard delivery schedule doesn’t suit. An Expedited Human Transcript will be delivered within 1 business day.
Expedited Delivery – AI Captions may be requested when the standard delivery schedule doesn’t suit. Expedited Captions will be delivered within 2 hours.
